What Hovermarks is
Hovermarks Inspection is web-based inspection, compliance and asset management software. Each asset gets a QR label; an inspector scans it with a phone camera, completes the asset's checklist in the phone browser with photos and a signature, and Hovermarks produces a branded PDF report and tracks the defects, corrective actions, work orders and next-due dates that follow. It is sold worldwide by BrainBoxIT Limited, a company registered in England and Wales (number 11703272).
Key facts
- Product
- Hovermarks Inspection, a hosted web app at inspect.hovermarks.com. It runs in any modern phone, tablet or desktop browser and installs to the phone home screen as a progressive web app. There is no app-store app.
- Company
- BrainBoxIT Limited, Portsmouth, United Kingdom. Company number 11703272. Hovermarks is a trading name.
- Free trial
- 30 days, no credit card. The trial runs on Starter features with 3 seats, 5 sites and unlimited assets. Professional features unlock when you upgrade.
- Pricing model
- Per seat (signed-in user) per month, from 1 seat. Invitations are free; a seat is charged only once it is assigned. People who only scan a QR tag, report a fault from it, or read a report or auditor pack you send them never need a seat. No VAT is added: BrainBoxIT Limited is not registered for VAT.
- Starter price
- £15 per seat per month billed monthly, or £144 per seat per year billed annually (£12 a month).
- Professional price
- £39 per seat per month billed monthly, or £384 per seat per year billed annually (£32 a month).
- Enterprise price
- No public price. Custom limits and contract; talk to sales.
- Contractors
- A contractor company sets up its own Hovermarks organisation and its clients invite it with the Contractor role. One sign-in works for every client; the contractor switches between them from the organisation menu. Once the contractor's company is on a paid plan, its own licence covers work for every client, so the client does not use a seat on them. While the contractor's company is on its free trial, the client assigns one of its own licences or the contractor upgrades. Records stay in the client's account and show the inspector as name and company. There is no contractor plan and no per-client price.
- Billing currency
- Prices on hovermarks.co.uk are in pounds sterling (GBP). The billing currency is set at signup: customers outside the US are normally billed in GBP, and customers in the US in US dollars, whose prices are on hovermarks.com.
- Where data is stored
- In the UK, in Microsoft Azure UK South, with geo-replicated backups in Azure UK West. The one exception is the opt-in Azure OpenAI features, whose prompts may be processed in other Azure regions (Microsoft's Global Standard deployment). US hosting is available on request; it is not set up by default.
- Connectivity
- Needs a data connection to open the app, sign in, load your assets and start an inspection. If the signal drops part-way through an inspection that is already open, answers auto-save on the device and the submitted inspection and its photos are queued and sent when the connection returns, as long as the app stays open. Starting a new inspection with no signal at all does not work today.
- Sign-in
- Microsoft Entra External ID: email and password, plus a one-time code sent to the verified email on every sign-in, on every plan. Professional and Enterprise can also federate sign-in to their own Microsoft Entra tenant.
- Integrations
- Working today: sign-in through Microsoft Entra External ID; bring-your-own Microsoft Entra SSO (Professional, set up with our help); outbound webhooks to Slack, Teams or any HTTPS endpoint (Professional); a REST API with API keys (Professional); CSV import and export; import of PAT tester CSV results. Stripe is used only to bill your Hovermarks subscription. Xero accounting sync is coming soon and is not connected yet. There are no other integrations.
- Regulations setting
- Each organisation chooses UK, US or Other. It decides which regulation-specific reports appear (UK statutory reports, US registers) and the date format. It does not change where data is stored.
Prices for customers billed in US dollars: hovermarks.com/inspection/facts.
What each plan includes
Plans differ on features and limits. Limits are hard caps: the app blocks further additions at the cap rather than billing overages. The full side-by-side table is on the pricing page.

Regulations with built-in templates
The template gallery shows every region's templates to every organisation, wherever it is.
UK
- LOLER 1998: report of thorough examination with the Schedule 1 particulars, checked before issue (lifts, hoists, patient hoists and slings, lifting accessories)
- PUWER 1998 Regulation 6: inspection record
- PSSR 2000: report of examination for pressure systems
- BS 5306-3 fire extinguisher servicing and BS 5839-1 fire alarm testing
- Fire Safety (England) Regulations 2022, regulation 10: fire door checks
- Fire risk assessment to the Regulatory Reform (Fire Safety) Order 2005 and PAS 79-1
- Portable appliance testing to the IET Code of Practice (the Electricity at Work Regulations 1989 require electrical equipment to be maintained so as to prevent danger; PAT is one common way to show that)
- EICR to BS 7671, landlord gas safety record (CP12), F-gas leak checks
- Water hygiene: HSE ACOP L8 and HSG274 Part 2 legionella checks
- SEMA pallet racking inspection, SFG20-aligned HVAC servicing, COSHH, BS 9999 fire damper drop tests
US
- NFPA 10 extinguishers, NFPA 25 sprinklers, NFPA 72 fire alarms, NFPA 110 generators, NFPA 101 emergency lighting, NFPA 70B electrical panels
- OSHA 1910.179 overhead cranes, 1910.178 forklifts, 1910.147 lockout/tagout, 1926.1053 ladders
- ASME B30.9 slings and rigging, ANSI Z359 fall protection equipment
- OSHA 1910.184 sling register and 1910.157 extinguisher service register as reports
Templates are starting points you can edit. Using them does not by itself satisfy a regulation: the duty stays with the duty holder, and examinations need a competent person. The US regimes use configurable checklists and branded PDF reports; there is no prescribed US report format the way LOLER Schedule 1 prescribes one.
What Hovermarks does not do
- Open the app, sign in or start a new inspection with no data connection.
- Provide an app in the Apple App Store or Google Play; it runs in the browser and installs to the home screen.
- Give your customers a Hovermarks login or report-sharing links. You send them the branded PDF report, or an auditor pack.
- File reports with a regulator, an insurer or a US AHJ filing system, or remind anyone of statutory reporting deadlines.
- Make an organisation compliant. It keeps the record; competence and the legal duties stay with the examiner and the duty holder. The compliance score is an internal pass rate, not a regulatory score.
- Do finance-side asset accounting (depreciation, book value, purchase orders) or IT asset discovery. Each asset can record its purchase date, cost, supplier and expected life.
- Sync with accounting software today. Xero is coming soon; it is not connected yet.
- Run on your own servers. It is a hosted service only.
- Turn AI on by default. AI features are opt-in per organisation.
Frequently asked questions
- Does Hovermarks need a data connection?

- Which Hovermarks plan includes work orders?
- Every plan, including Starter and the free trial: create work orders, assign them, add parts and labour, and download a branded PDF. Raising work orders automatically from failed inspections, through automation rules, is a Professional feature.

- How much does Hovermarks cost in the UK?
- Starter is £15 per seat per month (£12 a month billed annually) and Professional is £39 per seat per month (£32 a month billed annually). No VAT is added: BrainBoxIT Limited is not registered for VAT. Enterprise is priced on request. There is a 30-day free trial with no card.
- How long is the Hovermarks free trial?
- 30 days, with no credit card. It runs on Starter features with 3 seats, 5 sites and unlimited assets.
- Where is Hovermarks data stored?
- In the UK, in Microsoft Azure UK South, with backups geo-replicated to Azure UK West. Text sent to the opt-in Azure OpenAI features may be processed in other Azure regions. US hosting is available on request but is not set up by default.
- Does Hovermarks have a compliance score or RAG status?
- It has a compliance score: the percentage of inspections that passed in a chosen period, shown green at 80% and above, amber from 60% and red below 60%, broken down by site with a monthly trend. It is an internal management measure on every plan, not a regulatory rating.
