Defects and work orders
From a failed check to a fixed asset, on one record.
When an inspection finds a problem, Hovermarks opens the defect and the corrective action for you. A manager turns the defect into a work order, records the parts and labour, and completing the work order resolves the defect.
Inspection software that stops at the report leaves the repair in someone's inbox. Here the failed answer, the defect, the action, the work order and its costs stay on the asset's record, so you can show an auditor or insurer what was found and what was done about it.
Defects raise themselves
When an inspection is submitted as failed or flagged, the server opens a defect and a corrective action for each flagged answer. The action goes to the site's Site Manager, or an Admin, with a 7-day due date.
Corrective actions with proof
Each action has a priority, an assignee and a due date. Whoever completes it adds completion notes and photos.
Work orders in one click
From the defect, an Admin or Site Manager raises a work order with a priority, an assignee (staff, or a contractor working for you), a scheduled date and an estimated cost. On Professional, automation rules can raise it for you, from a failed inspection or from a defect still open after a set number of days.
Parts, labour and cost
Add parts from your parts list (stock comes down as you use them) and labour as hours at an hourly rate; the actual cost adds itself up. Admins and Site Managers manage costs, and the person assigned updates the status and notes.
Close the loop
Completing the work order resolves the linked defect, and reopening it reopens the defect. Download a work order PDF with your logo, the asset and site, parts, labour and totals. Overdue actions, defects and work orders are emailed to whoever is assigned each morning.
Plans and limits
Defects, corrective actions, work orders, parts and labour are on every plan, including the free trial. Automation rules that raise work orders for you are on Professional.
What it does not do
- No photo upload or e-signature on the work order itself: completion photos go on the corrective action.
- No due date or SLA timer on work orders, only a scheduled date.
- Work orders do not repeat on a schedule; planned maintenance runs as a scheduled checklist.
- No purchase orders, supplier accounts or automatic reordering for parts.
Frequently asked questions
- Are defects created automatically?
- Yes, on every plan. A flagged answer on a submitted inspection opens a defect and a corrective action against the asset. Raising the work order is one click on Starter and can be automated on Professional.
- Can a contractor be assigned a work order?
- Yes, once they have accepted your invitation and their access is live. They can update the status and notes; costs stay with your managers.
- Can I schedule planned maintenance (PPM)?
- PPM runs as a checklist on a schedule, the same way as an inspection, and failures feed the same defect and work order flow. Work orders themselves do not repeat on a schedule.
