Quick answer. Every fire safety asset that gets inspected on a cycle (extinguishers, alarm call points, fire doors, emergency lights, sprinkler valves, dry risers) should carry a unique scannable tag. A QR code linked to the asset record beats a printed serial number because the scan opens the inspection form for exactly that asset, timestamped and location-verified. Polyester or laminated vinyl labels survive indoors; anodised aluminium or laser-etched stainless tags survive plant rooms, car parks, and external risers.
Fire safety inspection regimes stand or fall on one question: is the record you are signing actually about the asset in front of you? Paper registers fail this constantly. Row 47 of a spreadsheet says "Extinguisher, Stairwell 2, Level 3" and the engineer services the one in Stairwell 3, Level 2. The register says compliant; the asset is not. What to tag on a fire safety estate
The assets that carry statutory or standards-based inspection cycles in the UK:
- Portable extinguishers. Monthly visual by the responsible person under BS 5306-3, annual service by a competent engineer.
- Fire alarm call points and panels. Weekly rotating call-point test under BS 5839-1 Clause 44.2, 6-monthly service by a competent organisation.
- Fire doors. Quarterly checks in common parts of residential buildings over 11m under FSER 2022; 6-monthly best practice elsewhere under BS 8214.
- Emergency lighting. Monthly function test, annual full-duration test under BS 5266-1.
- Sprinkler system components. Weekly and monthly checks under BS EN 12845 and the LPC Rules.
- Dry and wet risers. 6-monthly visual, annual pressure test under BS 9990.
- Fire safety signage. Checked as part of the fire risk assessment cycle.
A mid-size commercial building carries 200 to 800 taggable fire assets. A hospital or campus estate carries thousands.
Why scannable beats human-readable
A printed asset number relies on the inspector reading it, finding the matching row, and writing in the right place. Three failure points. A scanned QR code removes all three: the scan is the lookup, the form that opens is bound to that asset record, and the timestamp plus device identity land in the audit trail automatically.
The difference shows up at audit. A fire risk assessor or insurance surveyor asking "show me the service history of this specific extinguisher" gets an answer in seconds from a scan, versus minutes of cross-referencing a paper register, versus sometimes never for estates where the register and the wall have drifted apart over years of asset swaps.
Tag materials by environment
The tag has to outlive the inspection cycle, not just the installation day:
- Laminated vinyl or polyester labels. Fine for indoor, climate-controlled locations: office corridors, stairwells, reception areas. Cheapest option. Expect 3 to 7 years of legibility.
- Polycarbonate or acrylic-adhesive labels. For light industrial and back-of-house areas with occasional cleaning-chemical contact.
- Anodised aluminium tags. For plant rooms, car parks, loading bays, and anywhere with temperature swings or abrasion. Screw-fix or rivet rather than adhesive where surfaces are dusty or textured.
- Laser-etched stainless steel. For external dry riser inlets, roof plant, and coastal or wash-down environments. Most expensive; effectively permanent.
QR codes need a minimum module size to scan reliably from a phone: 12mm square at the code level for arm's-length scanning, larger where the tag sits above head height (fire door closers, high-level emergency lights).
Placement rules that save inspection time
- Consistent position per asset type. Every extinguisher tag on the body shoulder, not sometimes on the wall bracket. Every fire door tag on the hinge-side frame at eye level. Inspectors stop hunting.
- Never on replaceable parts. A tag on an extinguisher's hose gets swapped with the hose. Tag the body.
- Not over compliance labels. UK extinguishers carry service labels and kitemarks; the asset tag goes clear of both.
- Duplicate for high assets. Emergency lights and high-level devices get a second tag at reader height on the nearest wall, referencing the same asset record.
What the scan should open
A tag is only as good as what sits behind it. The scan should resolve to:
- The asset record. Type, location, install date, manufacturer, last service, next due date.
- The correct inspection form for the asset type and cycle. A monthly extinguisher visual gets the BS 5306-3 monthly checklist, not a generic form.
- The history. Every previous inspection on this asset, who did it, what they found, what was remediated.
- Defect flow. A failed check on the spot raises the defect with photo evidence and routes it to whoever fixes it, with the asset out-of-service state visible to the next scanner.
This is the difference between asset tagging as labelling and asset tagging as a compliance system. The label is the entry point; the system behind it is what a fire risk assessor, an insurer, or an HSE inspector actually judges.
Migrating a paper register to tagged assets
The practical sequence for an existing estate:
- Walk the estate once with the existing register. Reconcile what is on the wall against what is on paper. Expect 5 to 15 percent drift on estates over 5 years old.
- Tag as you reconcile. Each asset gets its tag and its corrected record in the same visit.
- Retire the paper register the same week. Running both in parallel for months guarantees divergence; the crossover should be a hard cut after the reconciliation walk.
- Load inspection cycles per asset type. Monthly visuals, annual services, quarterly door checks, each on its own recurrence against the tagged asset.
A 400-asset building takes a two-person team roughly two days to reconcile and tag. The payback is every inspection cycle afterwards running faster and every audit answer coming from a scan.
