Equipment check-out
Know who has the kit, and when it's coming back.
Equipment check-out in Hovermarks replaces the paper sign-out sheet: scan the tag, choose who is taking it, set a due-back date, and check it back in when it returns.
It sits on the same QR-labelled asset record as the item's inspections, so a sling, a PAT-tested drill or a ladder carries both its inspection status and who has it right now. It is off by default; an Admin switches it on for the organisation in Settings.
Sign it out in a few taps
Scan the asset's tag or open it from the list, choose a team member or type a name for someone without an account, such as an agency worker or a ward, and add an optional due-back date and note.
One holder at a time
An asset can only be out to one person at once. Retired assets and assets at archived sites cannot be signed out, and an asset marked out of service asks for confirmation first.
See what's out
Dashboard tiles show how many items are checked out and how many are overdue for return, and the asset list filters to either.
Chase late returns
A daily email lists overdue returns to the person holding the item. For a named person without an account it goes to the team member who lent it, failing that to site managers, then admins. The overdue email switch must be on as well.
A record of every hand-over
Each check-out and return, with its notes, is written to the audit log and shows on the asset's History tab.
Plans and limits
On every plan, including the free trial. Admins, Site Managers and Inspectors can check items out at the sites they can access. Admins and Site Managers can check in anything; an Inspector can check in items they hold or lent. Contractor users cannot check equipment out.
What it does not do
- No reservations or booking calendar.
- No check-out by contractor users.
- The public scan page never shows who holds an item; only signed-in users see it.
- No kit or bundle check-out: each asset is checked out on its own.
Frequently asked questions
- Can I sign equipment out to someone who doesn't have a Hovermarks account?
- Yes. Type their name instead of choosing a user, for example an agency worker or a ward. The overdue reminder then goes to the team member who lent it.
- Does signing equipment out to someone use a seat?
- No. Only your own staff who sign in need seats. Someone you sign an item out to by name needs no account.
- Does a checked-out asset still show its inspection status?
- Yes. Check-out sits on the same asset record, so the next inspection due date, open defects and history stay with the item while it is out.
