NFPA 25 sprinkler inspection checklist.

What NFPA 25 (2023 edition) requires for fire sprinkler inspection, testing and maintenance. Wet-pipe, dry-pipe, pre-action and deluge frequencies plus the field-by-field checklist for each inspection type. Written for US facility owners and licensed sprinkler contractors.

NFPA 25 sets the inspection, testing and maintenance schedule for every water-based fire protection system in the US. The owner or designated representative is responsible under Chapter 4 for making sure the schedule runs on time and the records are auditable. The checklists below cover the two most common system types: wet-pipe and dry-pipe. Pre-action and deluge systems follow the dry-pipe schedule plus additional chapter-specific tests.

Wet-pipe systems

The most common system type. Water is present in the piping at all times, sprinkler heads open individually on heat activation. The ITM schedule is the lightest of the four system types but still needs a rolling calendar to stay compliant.

Dry-pipe systems (plus pre-action and deluge)

Used in unheated buildings, freezer warehouses, parking structures, or where water damage risk from a leak is unacceptable. Pipes hold pressurised air; the dry-pipe valve releases water into the system when a sprinkler head opens and air pressure drops. All dry-type systems add the checks below on top of the wet-pipe schedule where applicable.

Record-keeping requirements

Chapter 4 of NFPA 25 requires records of every inspection, test, and maintenance activity, kept for at least 1 year past the next inspection interval or per AHJ retention rule (typically 3 to 5 years). Records must include date, inspector name and certification, activity performed, deficiencies noted, impairments and their duration, and corrective actions. Insurance carriers (FM Global, IRI, XL, CNA) usually require records be produced within 48 hours of a request during audit.

What is NFPA 25?
NFPA 25 is the Standard for the Inspection, Testing, and Maintenance of Water-Based Fire Protection Systems, published by the National Fire Protection Association. It covers wet-pipe, dry-pipe, pre-action, deluge, foam-water, standpipe, fire pump, and private hydrant systems. The 2023 edition is the current published edition; check with your Authority Having Jurisdiction (AHJ) for the edition adopted in your state or local code.
Who is responsible for NFPA 25 ITM?
Chapter 4 of NFPA 25 places responsibility on the property owner or designated representative. The owner is responsible for ensuring inspection, testing, and maintenance happens on schedule and that records are maintained. The owner may delegate the physical work to a licensed sprinkler contractor but the accountability stays with the owner. Insurers and AHJs will hold the owner to the schedule during audit.
How often does a fire sprinkler system need to be inspected?
It depends on the system type. Wet-pipe systems need monthly gauge inspections and quarterly waterflow alarm testing, with a full annual inspection and main drain test. Dry-pipe, pre-action, and deluge systems add weekly gauge checks. All water-based systems have a 5-year internal pipe assessment and various longer-interval tests (10-year sprinkler head sampling, 20-year fast-response head replacement). Fire pumps have their own separate schedule under NFPA 25 Chapter 8: weekly no-flow test, annual full-flow performance test.
What changed in NFPA 25 2023 vs 2020?
The 2023 edition added a self-testing provision for waterflow alarm devices (annual self-test permitted, with a physical flowing-water test still required every 3 years), and rewrote Chapter 14 on obstruction investigation to align with modern remote-video inspection methods. It also clarified the sprinkler head sampling requirements for corrosion-prone environments and updated the fire pump chapter for controller diagnostic reporting.
What happens if an NFPA 25 inspection finds an impairment?
NFPA 25 Chapter 15 defines two impairment classes: preplanned (a scheduled shutdown for testing or maintenance) and emergency (an unexpected failure such as a broken pipe or trip of a control valve). For an emergency impairment the owner must implement the emergency impairment procedure, notify the AHJ and insurer, tag the impaired system, and put fire watch in place until the system is restored. All impairments must be logged and reported per Chapter 4 record-keeping.
Does NFPA 25 apply outside the US?
NFPA 25 is the US baseline but is used internationally where the local jurisdiction adopts it or where the building's insurer requires it (FM Global, IRI, XL). In the UK equivalent inspection is covered by BS EN 12845 for sprinkler design and LPS 1048 for installer certification; the closest UK ITM standard is BS 5306-0 and the LPC Rules for Automatic Sprinkler Installations. Facilities with US insurance often still follow NFPA 25 even when in the UK.
